The Questions to Ask on Your Childcare Tour
Take this checklist with you, save it to your phone or print it before your visit.
1. Educator Ratios and Staffing
Educator-to-child ratios are important for supervision, safety and meaningful relationships.
Ask:
- What educator-to-child ratios apply in each room?
- How are ratios maintained during arrivals, departures, meal times and outdoor play?
- Which educators will spend the most time with my child?
- How does the centre support continuity of care if an educator is absent?
- What qualifications and experience do the educators hold?
- How long have many educators worked at the centre?
- How are children’s individual needs and additional support requirements accommodated?
Under the National Quality Framework, minimum ratios vary according to children’s ages. In NSW, common requirements include 1 educator to 4 children for birth to 24 months, 1:5 for children over 24 months and under 36 months, and 1:10 for children aged 36 months to preschool age. Ask the centre how these requirements are applied in practice and how the team provides additional support when needed.

3. Meals, Allergies and Cultural Requirements
Food is an important part of a child’s day. Ask for specific information about what is included and how individual needs are managed.
Questions to ask include:
- Are breakfast, morning tea, lunch, afternoon tea and late snacks included?
- How often are menus updated?
- How are allergies and food intolerances managed?
- What is the process for documenting dietary requirements?
- How are cultural, religious or family food preferences respected?
- Are parents required to provide bottles, formula or particular foods?
- How are children supervised while eating?
- How does the centre respond if a child refuses food?

- Are babies’ home sleep cues and routines discussed with families?
- How are sleep checks completed and recorded?
- What safe sleep practices are followed?
- What happens when a child no longer naps?
- Are children able to enjoy quiet activities during rest time?
- What should families bring for sleep and comfort?
Share details about your child’s usual sleep patterns, favourite comfort items and signs of tiredness. This helps educators create a smoother transition from home to care.

5. Illness, Medication and Health Policies
Clear health policies help protect children, educators and families.
Ask:
- What symptoms mean a child must stay home?
- What is the procedure for fever, vomiting, diarrhoea or contagious illness?
- How are families notified about infectious illnesses?
- How are injuries, accidents and incidents communicated?
- What forms are required for medication?
- How is medication stored and administered?
- What immunisation information is needed before enrolment?
- How does the centre manage asthma, anaphylaxis and other medical plans?
It is also helpful to ask how the centre manages handwashing, cleaning, nappy changes, toileting and sun protection throughout the day.
6. Fees and What Is Included
Fees can vary depending on attendance patterns and inclusions, so ask for a clear explanation of your likely costs.
Discuss:
- What is the daily fee for my child’s age group?
- Are fees different for part-time and full-time bookings?
- Are nappies, wipes, sunscreen, meals or incursions included?
- Are there enrolment fees, bonds or administration charges?
- Are public holidays or centre closure days charged?
- What are the payment arrangements?
- Are there late collection or late payment fees?
- How are absences handled?
Request a written fee schedule so you can review the information at home.
7. Child Care Subsidy (CCS)
The Child Care Subsidy may reduce the amount your family pays for approved early childhood education and care. Eligibility and the percentage of support depend on your circumstances, including family income and other requirements.
Ask:
- Is the service approved for CCS?
- Can the team explain the enrolment and confirmation process?
- What information do I need to provide through myGov?
- How will the CCS reduction appear on my statements?
- What happens if my subsidy percentage changes?
- Can you help me understand the difference between the daily fee and the gap fee?
From 5 January 2026, eligible families receive at least 72 hours of subsidised care per fortnight, often described as the 3 Day Guarantee. Some families may be eligible for more hours. Services Australia manages individual CCS claims, so families should check their circumstances directly through Services Australia.

- Notes about your child’s routines, interests and comfort needs
